About the Position
Job Description Summary
The Service Department Coordinator handles all organizational and administrative aspects of work orders for the organization. This position works directly with the Service Manager(s) to prepare, organize, log, track, document, route, file and issue all necessary paperwork required to meet the administrative needs of the work. Additionally, the Service Department Coordinator will assist in creating/dispatching service work orders, billing work orders and manpower tracking. This position will utilize several different computer programs to assist in the administration of projects.
Overall, the Service Department Coordinator is the liaison between LEI support staff, LEI field staff, clients, electrical engineers, subcontractors and suppliers. They will prepare, coordinate, organize and route all project documentation, such as submittals, RFI’s, service work orders, subcontracts, correspondence etc., to facilitate document control efficiency and accurate record keeping.
Essential Functions and Responsibilities
• Attend project turnover meetings, as required, and assist Service Manager in acquiring, interpreting and documenting specific project information
• Input Subcontracts and SPO’s into project management and/or accounting software
• Assist Service Manager with manpower allocations, dispatching and tracking
• Organize and prepare project status meetings as necessary; keeping accurate and detailed meeting minutes
• Update and maintain work order statuses in the appropriate software module
• Preparation of project specific forms required by the client
• Organize any special training that may be required for a specific project
• Assist with updating of project budget and schedule of values for approved change orders
• Obtain all required permitting
• Monitor and track T&M Tickets to ensure proper costing, billing and inventory
• Perform job closeout functions including O&M manuals and warranty
• Assist the Service Technicians with punch list tracking and documentation
• Arrange and oversee all required testing and reporting
• Maintain all project related documentation and properly file including email
• Manage the van stock and inventory process; keeping accurate records of stock levels
• Assisting with collections and accounts receivable follow up
• Set up, schedule and manage warranty service calls
Qualifications/Requirements
• 2-5 years of construction experience is required
• 4-year degree and/or relevant construction coordinator experience is preferred
• Strong computer skills including MS Office Suite and internet are required
• Knowledge of Accubid, Viewpoint or related software programs preferred
• Ability to multi-task efficiently with multiple interruptions, work under stress and adapt
• Knowledge of job cost principles
